Key Responsibilities
1. Employee Lifecycle Management
- Manage employee onboarding, probation administration, labor contracts, contract renewals, personnel records, and offboarding processes.
- Prepare, issue, and maintain employment documentation, ensuring records are complete, accurate, and up to date.
- Coordinate employee lifecycle transactions and updates within Workday and other HR systems.
2. Social Insurance & Regulatory Administration
- Administer statutory social insurance processes, including registrations, amendments, leave-related cases, and employee separations.
- Manage social insurance closure procedures, statutory exit documentation, contribution reconciliation, and required reporting activities.
- Liaise with relevant government authorities and support compliance with Vietnam labor and social insurance regulations.
3. Employee Support & HR Services
- Provide timely, accurate, and professional HR support to employees and managers.
- Process employee certificates, employment verification letters, labor contract copies, leave documentation, and other HR-related requests.
- Support employee welfare and mobility documentation, coordinating with internal teams and external stakeholders as required.
4. Expatriate Immigration Administration (Work Permit, Visa & TRC)
- Coordinate and administer expatriate immigration processes, including work permit applications, renewals, amendments, and cancellations.
- Support visa, Temporary Residence Card (TRC), and other immigration-related documentation for foreign employees.
- Liaise with immigration authorities, government agencies, and external service providers to ensure compliance with applicable regulations.
- Maintain accurate records of expatriate immigration documents and monitor validity periods to support timely renewals and ongoing compliance.
- Provide administrative support and guidance related to expatriate employment documentation requirements in Vietnam.
5. HR Systems & Operational Excellence
- Maintain accurate employee information across Workday and other HR databases.
- Process employee data changes while ensuring data integrity, confidentiality, privacy, and records retention compliance.
- Identify opportunities to improve HR processes, controls, and employee experience.
- Support HR operational initiatives and projects as assigned.
6. Compliance, Engagement & Projects
- Maintain current knowledge of applicable labor laws, employment regulations, and social insurance requirements.
- Support company-wide employee engagement programs, activities, and events.
- Contribute to HR projects, process improvement initiatives, and other duties assigned by the Head of Human Resources.
Qualifications & Experience
- Bachelor's degree in Human Resources, Business Administration, Law, Finance, Accounting, or a related discipline.
- Minimum 2 years of experience in HR operations, employee lifecycle administration, social insurance administration, payroll support, or a similar role.
- Good knowledge of Vietnam labor regulations and statutory social, health, and unemployment insurance processes.
- Experience supporting work permit, visa, Temporary Residence Card (TRC), or other expatriate immigration-related processes is preferred.
- Experience with HR systems, preferably Workday, and strong Microsoft Office skills, particularly Excel.
- Good written and verbal communication skills in both English and Vietnamese.
